Front Office Executive

As our Front Office Executive, you will be the first point of contact for our companies. The duties include offering administrative support across the organization. In addition, you will welcome clients and guests to our office while managing all inbound calls. The ideal candidate must operate within a high level of confidentiality, possess excellent interpersonal and personal skills, have experience with project coordination, and have the ability to engage effectively and efficiently with all levels of internal management and staff.

A day in the life:

  • Answer and route all incoming phone calls promptly and efficiently

  • Greet and check-in clients and guests with a positive, helpful and welcoming attitude

  • Data entry to support estate planning

  • Handle confidential and/or sensitive information responsibly

  • Assist with a variety of administrative support activities as needed

  • Manage appointment scheduling 

  • Assist with the pantry and office supply inventory

Your qualifications:

  • Hands-on experience with office equipment (e.g., fax machines, scanners, and printers)

  • Must be detail-oriented and able to work in a fast-paced environment

  • Must be committed to providing exceptional customer service 

  • Must have a high degree of comfort managing multiple tasks simultaneously

  • Must have strong character and a positive attitude

Our requirements:

  • 2+ years of administrative or customer service experience. Experience in the financial services industry a plus

  • Demonstrated ability to communicate, present, influence, and sell effectively

  • Experience in delivering client-focused solutions and in creating long-lasting relationships

  • Working knowledge of CRMs
